Seeing a note in your own reader is only the first check. Save a suitable copy and confirm the recipient can see the annotations they need.

01

Choose an ordinary note first

Okular’s handbook describes annotation tools such as notes, highlights and drawn marks. Our suggested handoff check starts with one obvious note on a document copy. Confirm the original is preserved and that the document permits the changes you intend. Restricted documents can limit annotation actions, so an unavailable tool is not necessarily an installation fault.

02

Save the appropriate format

The handbook documents saving annotations into a PDF with File — Save or File — Save As. It also describes an Okular document archive, using the .okular extension, that carries the document and annotation metadata. Decide which workflow the recipient uses before choosing between them. An Okular archive is a specific format; giving it a .pdf filename does not convert it into a PDF.

03

Check what actually travels

Our suggested routine closes the delivery copy, opens that copy again and checks the marked page. When practical, inspect it in the recipient’s PDF viewer as well. The handbook warns that custom stamps may not appear in other readers. Use a representative annotation rather than assuming every mark shares the same compatibility. Keep a clear distinction between a note that is saved and one that the intended reader can see.

04

Review the handoff details

Before sending, our suggested check covers the filename, the exact page you commented on and any author label attached to a note. Remove unintended remarks from a delivery copy without overwriting the original. A visual mark is not proof that underlying content has been removed; use an appropriate redaction workflow if removal is the task. This guide does not inspect your files or establish compatibility for every PDF feature.
